Position Summary

The UGA Libraries' Collections Department is responsible for managing the Libraries' $14 million collections budget. The Collections Manager is a professional-level manager who leads a unit within the Collections Department that coordinates stewardship of collections funds across the lifecycle of ordering, invoicing, payment processing, and vendor account resolution. This position plays an integral role supporting and coordinating acquisitions, electronic resources, and technical services workflows related to the management and discoverability of library collections.

Working closely with Collections librarians and staff, this manager ensures that library materials and services (including ongoing subscriptions and one-time purchases) are processed efficiently, recorded accurately in relevant library systems, and supported by clear documentation and consistent workflows to resources for research, teaching, and learning. The manager serves as the primary liaison between the Collections Department and the Libraries Finance and Accounting team, coordinating library acquisitions workflows, verifying documentation and transactional accuracy, and ensuring acquisitions records and supporting materials are complete prior to institutional financial processing.The manager supervises staff and student employees, develops and maintains unit procedures, and ensures operations align with University of Georgia policies and service expectations for timely access to resources.

• Knowledge of library processes related to the acquisition of resources
• Knowledge of integrated library systems (ILSs) such as Alma, Folio, or similar
• Moderate to advanced Excel skills (e.g., formulas, pivot tables, conditional formatting, troubleshooting).
• Knowledge of word processing and web publishing software (e.g., Microsoft Word, Adobe Acrobat).
• Advanced organizational skills.
• Ability to prioritize activities.
• Ability to perform clerical tasks accurately with close attention to detail.

• Leads unit-level collections fund stewardship and reporting in support of library acquisitions decision-making by maintaining fund tracking data and reconciling results with library reporting tools.
• Partners with Collections unit heads, selectors, and the Libraries' finance team to support forecasting, resolve posting and payment issues affecting access to resources, and provide timely, actionable information for managing collections expenditures.
• Generates and interprets reports using integrated library systems and campus financial tools.

• Oversees acquisitions, invoicing, and vendor account workflows to ensure continuity of access to purchased and subscribed resources, accurate recordkeeping, and timely issue resolution.
• Maintains and enforces standardized documentation practices; develops and updates procedures and workflow documentation; and delegates work to balance workload and meet service timelines.
• Communicates proactively with vendors and publishers regarding invoicing discrepancies, credits, renewals-related questions, and resolution status, escalating complex issues as needed.
